Why Supplier Scoring Matters for Shopify Merchants
Your suppliers directly affect your ability to fulfill orders, maintain margins, and keep customers happy. But most Shopify merchants evaluate suppliers based on gut feeling rather than data. They know which vendors are "good" and which are "difficult," but they cannot quantify why.
A vendor scorecard changes this by giving you a structured, repeatable way to evaluate every supplier on the metrics that actually matter: on-time delivery, order accuracy, pricing consistency, communication quality, and lead time reliability.
The 5 Metrics That Matter Most
1. On-Time Delivery Rate
Track the percentage of shipments that arrive on or before the expected delivery date. Calculate it as:
On-Time Rate = (On-Time Deliveries / Total Deliveries) x 100
A supplier with a 95% on-time rate is more reliable than one at 70%, even if the cheaper supplier saves you a few dollars per unit. Late deliveries create stockouts, rush orders, and customer dissatisfaction.
2. Order Accuracy
How often does the supplier deliver exactly what you ordered? Track instances of wrong items, incorrect quantities, damaged goods, or missing SKUs. Order accuracy above 98% is the target.
3. Pricing Consistency
Compare the invoiced unit cost against your agreed wholesale price on every order. Price creep is common, especially with international suppliers. Even a $0.25 per unit increase across 500 units adds up to $125 per order.
4. Lead Time Reliability
Track the actual days between PO placement and shipment arrival. Compare this against the supplier's quoted lead time. A supplier who quotes 14 days but consistently delivers in 18 to 20 days is a planning risk.
5. Communication Responsiveness
Rate how quickly and clearly the supplier responds to inquiries, order confirmations, issue resolution, and documentation requests.
